Lovell Chen is seeking an experienced Studio Coordinator to support studio operations and project delivery for our team of 35 professionals. This full-time, office-based role reports to the Studio Manager and interfaces with the Practice Principal, Finance Manager, Directors, Principals and project teams.
About the role
You will have a key role in the Support team, assisting with studio management and project administration tasks including project workflows, the preparation of proposals and submissions, administrative support during project establishment and the life cycle of the project, and maintaining compliance with QA & OHS processes, as directed.
This role also includes supporting the coordination of facilities and suppliers to ensure the smooth operation of our busy studio, interfacing with building management, external suppliers of goods and services, and supporting our internal OHS committee.
The role suits someone who is calm under pressure, detail-oriented and enjoys a varied role within a collaborative team.
Key responsibilities
- Workflow support during pre-engagement, project establishment and end-of-project stages, including maintaining project records and updating our project management system
- Tracking enquiries and supporting the preparation of responses, including proposals, submissions and variations.
- Assistance, as required, to senior staff and the broader team to support the delivery of work and smooth operation of the studio
- Coordination of goods and services to the studio (consumables, travel, equipment, and occasional events)
- Support QA and OHS objectives through record-keeping and compliance with administrative processes.
- Administrative liaison/support to internal committees, as required.
About you
- Experience in business administration, office coordination, executive support or a similar administrative role.
- Good organisation skills, attention to detail and the ability to prioritise competing deadlines within a supported team environment.
- Confident communication with clients, suppliers, contractors and internal team members.
- Intermediate Microsoft Office and Adobe Acrobat skills; experience with project management software (e.g. TotalSynergy) is highly regarded.
- A qualification in business administration or a similar field will be highly regarded.
- Experience working in architecture or a professional consulting services environment will be highly regarded.
